How to use InfiniteApp on shift

Ten things you will do most days, in the order you will meet them. Twenty minutes once, then come back to whatever you forget.

You do not need to memorise this. Work through it once on your first shift, and come back to whichever step you forget. Everything here is something you will do most days.

How do I sign in?

  1. The first time on a device, someone signs in with the clinic’s work email. This happens once per device, not once per person.
  2. After that you see the Welcome back screen with everyone’s photo.
  3. Tap your photo and enter your 4-digit PIN. You set this the first time you sign in.
  4. That is it. No password at the front desk, and switching between people takes two taps.
  5. When you finish your shift, tap your name in the sidebar and choose Switch user so the next person starts as themselves.
Worth knowingIf you forget your PIN, a manager resets it from Settings, Staff. Nobody can see your PIN, including managers. They can only clear it so you set a new one.

  1. The dashboard is the first thing you see and the first thing to check on shift.
  2. At the top: anything open that needs an answer: handoffs waiting, tasks assigned to you.
  3. Your checklists for today, with how far along you are.
  4. Who is on shift today, so you know who is in the building.
  5. Any pinned note a manager left for the whole team.
Worth knowingIf you read one screen a day, read this one. It is built to answer “what needs me right now” in about five seconds.

How does chat work?

  1. Four channels in the sidebar: Front Desk, Providers, General, Announcements.
  2. Type as you would anywhere. Tap the + to send a handoff, the camera to send a photo, or the microphone to dictate instead of typing.
  3. Press and hold any message to reply to it, copy it, add a reaction, or see who reacted with what.
  4. Type @ and someone’s name to tag them. They get a notification.
  5. Tap a quoted reply to jump back to the original message.
Worth knowingDictation is the one worth learning. Gloved, mid-room, hands full. Hold the mic, talk, done. It is much faster than thumbs.

How do I send a handoff?

  1. A handoff is anything a patient needs that someone else has to action: a rebooking, a follow-up call, a prescription, photos, a pack to print.
  2. In chat, tap the + button.
  3. Type the patient’s name. If they are booked today, they suggest themselves. Tap to fill.
  4. Tick what is needed: Rebook, Follow-up call, Prescription, After photos, Take payment, and so on.
  5. If you ticked Rebook, the interval fills in automatically from the treatment: Botox at 12 weeks, filler at 6 months. Tap a different chip to override it.
  6. Send. It lands with the front desk and stays open until someone answers it.
Worth knowingThis is the single most important habit in the app. A handoff in the system gets answered; a handoff shouted down the hallway gets forgotten by lunch. When in doubt, send it.

How do my checklists work?

  1. Open Checklists from the dashboard or sidebar. You see the lists for your role and shift.
  2. Tick items as you do them. It saves instantly for everyone.
  3. The bar at the top shows your percentage and how many of the total you have done.
  4. A day in progress reads as so far, not as a fail. Nobody is being marked down at 2pm for not having done the closing list.
  5. If your shift runs past close, the After Hours list appears automatically so closing still gets done properly.
Worth knowingManagers look at the week, not the day. One rough day is a rough day. What they are watching for is the same item slipping every Friday, which is usually a staffing problem rather than a you problem.

Where do my tasks live?

  1. Open Projects & Tasks in the sidebar, under Dashboard.
  2. Mine shows what is assigned to you, plus anything you handed to someone else so you can track it.
  3. Team shows everything open across the clinic.
  4. Tap any task to open it: description, deadline, who is on it, and the running thread of updates.
  5. Post an update as things progress. Anyone on the task sees it.
  6. When it is done, tick it. You can add a note about what happened, or just mark it done.
Worth knowingThe sign-off note is worth using when something surprising happened. “Ordered, arriving Tuesday, told the patient” saves the next person a phone call.

How do I see the schedule and put in my availability?

  1. Open Schedule in the sidebar. You see the whole month.
  2. Three tabs: Admin shifts, Providers pulled from the booking system, and Availability.
  3. Under Availability, tap any day to say when you can work, or request the day off.
  4. Your manager builds the month from what everyone has put in, so filling this in early gets you the shifts you want.
  5. Red days mean providers are booked but no admin is scheduled. Tell your manager if you can cover.

How do I build a patient plan?

  1. Open Skin Health Program in the sidebar and tap New program.
  2. Enter the patient’s name and tick the products you are recommending, marking each AM, PM, or both.
  3. For products that need easing in, like retinol, set the ramp-up: every 3 days for two weeks, every other day for a month, then nightly.
  4. Add treatments with their cadence. The plan totals as a yearly investment rather than a per-visit price.
  5. Toggle Include description on any treatment to attach its education block: what it is, what it addresses, what to expect, and the research behind it.
  6. Tap Print and hand it to the patient before they reach the front desk.
Worth knowingPatients who leave with a written plan rebook more than patients who leave with a verbal one. The printout is doing sales work for you, and it is doing it in your clinic’s voice rather than yours.

How do I handle inventory and patient orders?

  1. Open Inventory in the sidebar.
  2. Log deliveries as they arrive, with lot numbers and expiry dates.
  3. Under Patient Orders, add anyone waiting on a backordered product. Initials and patient number only, never full names.
  4. Move each order along as it changes: Backorder, Patient contacted, Completed.
  5. Once an order is settled, tap File away. It leaves your working list but stays in the record.
  6. Managers run the monthly count from here.
Worth knowingUse initials and patient number, not names. It is a privacy habit that costs nothing and protects the clinic.

What is the directory for?

  1. Open Directory in the sidebar.
  2. Team has everyone’s contact details, and the clinic keys register showing who has keys signed out.
  3. Vendors has suppliers, reps, and service contacts. These are the numbers you need when something runs out or breaks.
  4. Devices has each machine with its full service and install history.
  5. When a device is serviced, log it there. Next time someone asks when the laser was last looked at, the answer is on the device.

Everything else is a variation on these ten. If you learn one thing properly, make it handoffs. It is the habit the whole clinic runs on.

Common questions

Do I need my own login?

You need your own 4-digit PIN, not your own password. The device is authorised once with a work email, then everyone switches between themselves with PINs.

What if I forget my PIN?

A manager clears it from Settings, Staff, and you set a new one next time you sign in. Nobody can see your PIN, including managers.

Can managers see everything I do?

Managers see checklist completion, handoffs, tasks, and clinic-wide numbers. They cannot see your PIN, and employee documents are visible only to whoever uploaded them plus whoever that person chose.

What happens if I mark something done by mistake?

Tap it again to reopen it. Nothing is destructive, and removed items go to a Removed area a manager can restore from.

Do I need to install anything?

No. It runs in the browser on the front-desk iPad, your phone, or a desktop. Add it to your home screen and it behaves like an app.
